How to prepare a useful packaging quotation brief
Plan a packaging enquiry with dimensions, product weight, quantity, artwork and delivery details. Use this practical quotation checklist from Alide in Noida.
Start with the item and its use
A box made for a retail shelf and a carton used for transport have different jobs. Explain what the pack will hold, how it will be handled and whether it needs to fit within another outer pack. Include a photograph or simple sketch of the item when it helps explain the fit.
Measure the finished size
Write the length, width and height with units. State whether these are internal dimensions, outer dimensions or the size of the product itself. Include product weight and any inserts, dividers or extra space needed. A labelled sketch is more useful than an unlabelled number.
Describe the order quantity and versions
Give an approximate quantity for each size or artwork version. A total quantity across several versions may require a different production plan from one identical design. Mention whether this is an initial order, a repeat requirement or a sample discussion; the sales team will confirm the minimum order and price.
Explain materials and appearance
If you know the paperboard grade, corrugation requirement or finish, include it. If you do not, describe the handling conditions and presentation you want. Avoid assuming that every construction can use the same foil, lamination or window treatment; confirm the combination for the selected format.
Share artwork and delivery details
Say whether artwork is print-ready, in progress or still needs design support. Send the destination city and PIN, the preferred date and any packing instructions. Delivery availability, freight and the production schedule must be confirmed in the written quotation.
Review the complete quotation
Check the product description, dimensions, material, quantity per version, print specification, finishing, taxes, transport and payment terms. Keep the approved proof and agreed specifications together. A WhatsApp conversation can start the discussion; the final quotation and proof should identify what is actually being supplied.
